- www.libreoffice.org
- challenge.document.foundation
- conference.libreoffice.org
so the teams are aware of the changes to the main sites and can adapt their own sites.

Hm, may I suggest that this is not done? I remember getting quite a bunch of messages about changed pages. If the traffic from Silverstripe will be high enough, I'd suggest to set up a separate mailing list where only Silverstripe could post, and where all announcements would be directed. According to your description from earlier:
This list will be used to coordinate QA tasks (like QA on nightly or RC builds), Marketing tasks (e.g. PR or i18n DVD), Documentation (links that still point to OOo wiki in HC2 for example) as well as new website initiatives among the different language projects of our community.
there's quite a bunch of other things that will be managed on projects@ list, so I don't think cluttering it with SilverStripe traffic, which is not of interest to everyone on that list, would be helpful...
