Updates on Calc Guide 7.1

Hello everyone,

The following chapters of Calc Guide 7.1 are available for a first review:

CG7114 - SettingUpCustomizing

CG7115 - KeyboardShortcuts

CG7116 - CalcErrorCodes

About the Chapter 14, some observations about the requested changes:

i. "/English guide mentions that logical values and dates are green when this////option is enabled, but it is not true. In fact, they are blue,////because they are numbers, internally. Only results from formulas are////green/"

_Observation:_ In my LO, the behavior was exactly as stated in the guide (logical and dates values were highlighted in green. Is this a OS difference?

ii. "/There's a need to indicate that this “magic” stops for the range whenever the user does something else and returns back to range entry. SF opinion – the paragraph in the document is unclear; review needed to establish exactly     what the function does and then to make sure it //is documented clearly./"

_Observation:_ Here I couldn't figure out the issue, if somebody could give me some help on this would be great!

All those changes are noted in the Calc Status Guide.

Best regards,

Felipe Viggiano

Hi Felipe,

With regards to the first point, about Calc's View > Value Highlighting functionality, I have just experimented on my Windows 10 computer on which LibreOffice Community 7.1.1.2 (x64) is installed.

The behaviour I am witnessing matches that described on the relevant Help page - see https://help.libreoffice.org/latest/en-GB/text/scalc/01/03080000.html.

To be a bit more specific about my test, with value highlighting enabled:

1. I visited the Tools > Options > LibreOffice > Application Colors
dialog, scrolled down to the section containing Spreadsheet colors
and made sure that the "Values", "Formulas", and "Text" options were
set to Automatic. With this selection, the color setting options are
    blue, green, and black respectively.
2. I typed the number 1 into an empty cell and it was displayed in blue
    text.
3. I typed the formula =SUM(1+2) into an empty cell and the result 3
    was displayed in green text.
4. I typed 2021-04-11 into an empty cell (today's date in ISO 8601
format) and it was displayed in blue text. (I would expect this
because Calc handles dates as numbers).
5. I typed TRUE into an empty cell (taking care to stop Calc from
converting this into a call to the TRUE() function!) and again it
was displayed in blue text. (I would expect this because Calc
    handles logical values as numbers).

Did I do anything significantly different to you?

Regards,

Steve

Hi Felipe,

With regards to your second point, about the Tools > Options > LibreOffice Calc > General > Expand formatting option.

For background information, please note that Bug 94499 <https://bugs.documentfoundation.org/show_bug.cgi?id=94499> highlights a possible bug with this function. We should of course be aware of this bug but there's no need to mention it in the Guide.

With regards to understanding the issue that Celia would like addressed in the Calc Guide, try the following steps:

1. Enable the Expand formatting option on the Tools > Options >
LibreOffice Calc > General dialog. (It should be unticked by default)
2. Create an empty sheet.
3. Enter something (e.g. the string "test") into the empty cell A1.
4. Set the formatting of cell A1 to something that is easily recognised
visually (e.g. the Good cell style).
5. Enter something into the empty cell A2 and press enter. Cell A2
should be displayed using the Good cell style.
6. Repeat previous step for cell B2.
7. Repeat as required by entering data in cells that are adjacent
(either horizontally or vertically) to any of the cells that have
already assumed the expanded format. (There are occasions when I've
been able to expand to a diagonally adjacent cell but I'm not sure
of the logic and so would ignore that "feature" for the moment).
8. When you do something in a non-adjacent cell, that stops the process
of automatically applying the original cell's formatting.

It's that last step that probably should be mentioned in the Guide, and possibly the help as well (https://help.libreoffice.org/latest/en-GB/text/shared/optionen/01060300.html).

I hope that makes some sense, and helps you.

Regards,

Steve

Hello Steve,

Thank you very much for both explanations. I was doing some steps differently and getting erroneous results. Now I can see the issues.

I'm updating the CG7114 right now.

Here's my suggestions:

*Expand formatting (p. 13)

Hello Bernd,

Thank you for you interest in joining the team!

I'm replying your e-mail with a copy to our e-mail list so anyone can read and give a hand to you in the process.

First of all, to have access to the files you will need an account in the Documentation cloud. It is accessible via Nextcloud. To request that, please follow the instruction in the Documentation Team wiki page (https://wiki.documentfoundation.org/Documentation/Development).

This shouldn't take long, but meanwhile you can read our User Guides, they will give you some great guidance on how the team work.

Once you get your Documentation Team's Nextcloud account set up, please let me know and I will provide you some specific steps to start reviewing the mentioned Calc Chapters.

Should you have any question please feel free to ask in the list.

Best regards,

Felipe Viggiano

Hello team,

All the chapters from Calc Guide were reviewed at least once (chapter 13 had two reviews due to the large modifications).

A big thanks for Kees Kriek for the big effort on this!

Following is a list of the main changes applied:

Features from the release notes (issue fixes and performance improvements were not included):

  * Option to disable paste with the /Enter/ key.  - Included in
    chapters 1 and 14;
  * New /Reset All/ button in Solver dialog - Included in chapter 9;
  * New /Extension/ button -  Included in chapters 4 and 5.

Changes requested:

  * Removed macros references in chapter 13 (modification made by Steve
    Fanning);
  * Corrected /Value Highlighting/ explanation in chapter 14 (as
    suggested by Celia Palacios);
  * Improved explanation about /Expand formatting/ feature (as suggested
    by Celia Palacios).

I'm starting to give a final look at all the chapters and assemble them all to publish the guide. If there is anyone who wants to give a review to a chapter, please let me know as soon as possible.

Best regards,

Felipe Viggiano

Felipe,
I am happy to check the assembled book for formatting errors.
Jean

Hello, Felipe,

congrats on your dedicated work!

Please update the "Publication date and software version" subchapter of the
Copyright chapter (page 2) of all chapter files and the book by adding the
following disclaimer as proposed by Jean and used in the 7.1 Writer guide:
Other versions of LibreOffice may differ in appearance and functionality.

Hello Martin!

Thank you very much for the reminder!

Just put this on the top of my TODO list for the final review!

Best regards,

Felipe Viggiano

Hello,

Please feel free to choose a chapter and review it.

May I suggest chapter 14? Beside chapter 13, this was the one with most changes.

Best regards,

Felipe Viggiano

Hello everyone,

There is an initial version of the Calc Guide 7.1 compiled (both in .odt and .pdf) in the WIP folder.

I'm still working on it, but since it is a big file, I have uploaded so anyone can take a look meanwhile.

In case of any discrepancies, please indicate it here on the list!

Best regards,

Felipe Viggiano

I have now uploaded my edited files for Chapters 8 & 12 to the WiP
folder. The file names have _JHW at the end. These are formatting
corrections on the title pages and other pages. Those types of changes
are not tracked.

Now I'll get the first version of the compiled book and have a look at it.
--Jean

Felipe,
Looking at the PDF, I found some minor formatting items, in addition
to what I changed in the files I returned today:
Page 38 (bottom) Bad page break.
P 39 (top list) Item 2 has number not in alignment.
P 39 bottom: Error: Reference source not found. Also on pages 204, 309
P 49 First list item is numbered 12, then list restarts at 1.
Index does not appear in the ToC at the beginning of the book, and
footer text does not change from App B to Index. That's a tricky one
that I failed to fix when I made changes to the master doc. (To fix,
change the outline level of Paragraph Style "Index Heading" from "Text
Body" to "Level 1" on Outline & Numbering tab of Paragraph Style
dialog.)
In Chapter 8, p. 290 of the full book, the first Figure is incorrectly
labelled "Drawing". On same page, there's an "Error: Reference source
not found". I fixed these (and some other items) in the file I
returned earlier today.
Back cover: font used for "Working With Spreadsheets" is a bit too
large and too spread out. Not a big deal.
Some other page breaks in various chapters could be improved, but they
are not major issues.
If I spot anything else later, I'll let you know.

Jean

Hello Jean,

Just implemented your suggestions!

All of the changed files (master doc and chapters 1, 2, 4, 8 and 12) were uploaded in the WIP folder.

Best regards,

Felipe Viggiano

I think this book is ready to publish. --Jean

Hello Jean,

Thank you very much for all the help!

Everyone,

Just moved all the .odt and the .pdf files to published folder.

Now I'm going to update the Wiki page and if it is everything OK, we can call it published!

Once again, I would like to express my gratitude to everyone involved: Steve, Jean, Dev, Kees and others!

Best regards,

Felipe Viggiano

Everyone,

A brief summary of the updates on Calc Guide 7.1:

  * Insertion of the new features presented in the Relase Notes such as:
o New "Reset All" button in solver dialog (by Rafael Lima).
o Option to disable paste with Enter key (by Martin van Zijl).
o New Additions dialog to easily get more contents, such as
extensions and templates (by Yusuf Keten, GSoC; mentored by
Muhammet Kara (Collabora) and Heiko Tietze).
  * Short info about Boxplots creation, with link to more complete
instructions on the Wiki page (by Kees Kriek and other colleagues
    from the Dutch Community).
  * Some necessary adjustments from the previous guide pointed out by
    Celia Palacios.
  * Removed the macro's usage guidance from Chapter 13 (improved
description about the matter were inserted in
    https://wiki.documentfoundation.org/Macros/Calc). Contribution made
    by Steve Fanning.
  * Text and organization improvements made by Jean Hollis Weber.

In this version, we had the pleasure to welcome a new contributor to the Doc Team: Vasudev Narayanan.

I think that covers most of what was done, any suggestion please feel free to point out!

Best regards,

Felipe Viggiano

Congratulations to everyone who worked on this update.
I’ll try to find time to produce the print edition this coming week.

Jean

Great work again!

Please do not forget to clean the files as well.

Best regards,
Martin
